CANCELLATION | MODIFICATION | REFUND ๐Ÿ’ฐ

โฏ I want to postpone my shipment

A postponement is possible and will be Wildhartt's preferred solution. We remind you that, if you inform us within 7 days, you can assign your contract to a transferee who meets the same conditions including medical conditions and physical abilities as you to make the trip or stay as long as the contract has not produced its effects.


In this case, Wildhartt will charge the costs of the change as imposed by its service providers. The assignor and the assignee are jointly and severally liable for the payment of the balance of the price as well as any additional fees, charges and costs incurred as a result of this assignment.

โŒ CANCELLATION OF RESERVATION

We offer Europ Assistance cancellation insurance for all our shipments outside your country of legal residence. All you need to do is take out the cancellation insurance offered when you order online. You must take out cancellation insurance 30 days before your departure.

If you cancel your holiday with cancellation insurance, you will get back the amount paid for the activities, accommodation, local transport, equipment and food. In the event of cancellation WITHOUT cancellation insurance, the sums you have already paid will be retained by the Agency as cancellation fees. We remind you that, if you notify DiscoveRent within 7 days, you may transfer your contract to a transferee who meets the same conditions, including medical and physical fitness conditions, as you do to take part in the trip or stay, as long as the contract has not come into effect.

Do you want to change your dates or transfer your booking to someone else? Contact us as soon as possible, and we'll see what we can do!

๐Ÿ‘‰ Change of dates : Subject to availability and our approval, we can offer you new dates for your expedition.

๐Ÿ‘‰ Change of participant : If you wish to give up your place, the person replacing you will have to meet all the physical and technical conditions required (see the special conditions of the expedition). We must validate this change before making it official.

In all cases, we will do our best to find a solution, but some changes will not be possible. So it's best to let us know as soon as possible! โณ

๐Ÿ‘ฆ Are children allowed on expeditions

Unless expressly mentioned in the expedition, children are by default not admitted to our trips.

However, we do have family outings that are accessible to children aged 6 and over.

Lastly, some expeditions are accessible from the age of 16 with parental consent ๐Ÿƒโ€โ™€๏ธ

๐Ÿฆ  SItuation sanitaire et covid 19

In the event of cancellation of an expedition due to the health situation; closed borders and/or confinement, the trip will be reimbursed in full.

In the event of cancellation due to illness, the aforementioned cancellation conditions shall apply. The Customer shall be responsible for fulfilling and paying for any police, customs and health formalities required for the booked trip, such as formalities relating to passports, national identity cards, residence permits, parental authorisation, visas, medical certificates and vaccination records.

In the event that the Customer is unable to travel due to non-compliance with administrative and health formalities, the price paid will not be reimbursed, nor will the Company be held liable.

๐Ÿ“ถ What's my level?

Level 1: Family-Friendly Expeditions

Designed for anyone looking to try outdoor sports for the first time. The distances covered are short with minimal elevation gain. Overnight stays are mostly in lodges, with occasional bivouac experiences for beginners.  

โžก๏ธ These expeditions are usually accessible for families with children aged 6 and above.  

โžก๏ธ Participants should be able to cover distances of up to 10 km per day.  


Level 2: Outdoor Adventure Expeditions

Suitable for anyone wanting to engage in outdoor sports. There are always ways to avoid or bypass difficulties. Accommodations may include tents, lodges, mountain huts, or even sailboats.  


โžก๏ธ These expeditions are typically open to participants 14 years and older, with parental consent.  

โžก๏ธ Participants should engage in regular physical activity (at least once every two weeks).  


Level 3: Sportive Expeditions

Designed for active individuals who want to explore or improve in adventure sports. Participants should be prepared to face challenges such as remoteness from civilization or exposure to harsh environments. However, no technical expertise is required. Accommodations may be more basic due to the nature of the destination.  


โžก๏ธ Must be able to run 10 km in under an hour.  

โžก๏ธ Should engage in endurance sports at least once per week.  


Level 4: Extreme Wilderness Expeditions

These expeditions take place in fully remote areas with little to no network coverage. They are designed for experienced adventurers looking to progress in their chosen sport. Participants must be prepared for isolation, harsh environments, and potential discomfort. Some technical knowledge of the sport is required.  


โžก๏ธ Must have already participated in a (micro) expedition.  

โžก๏ธ Should engage in endurance sports at least twice per week.  

โžก๏ธ Must be comfortable with heights and/or open water.  

โžก๏ธ No chronic pain or medical conditions โ€“ must be in excellent health.

Can I privatise this expedition for my group?

Yes, all our expeditions can be privatised for a group already formed on the dates of your choice. To make a privatisation request, go to the expedition of your choice and privatise it using the button under the "see departures" button.

๐Ÿ’ณ Can I pay a deposit before the full payment is made?

When booking, you have the option to choose your preferred payment method.  


  1. With our flexible payment solution, you can opt to pay a deposit of at least 20% of the expedition price. The remaining balance will be automatically collected before departure.  
  2. Another convenient option is our installment payment plan. This allows you to pay a set amount each month until the full payment is completed, giving you greater flexibility in managing your budget.

It's easy, just contact us with the first and last names of the friends you're signing up with and we'll give you a promotion code to use when you place your order. Have you already placed your order?

What is the maximum number of participants on an expedition?

The maximum number of participants allowed per group is specified for each expedition. Typically, we accept up to 6 adventurers per group on average, though this may vary depending on the nature of the expedition.  


Each trip requires a minimum number of participants to be confirmed.  

If the trip cannot take place due to not meeting the required minimum number of participants, you will be informed no later than:  
  • 20 days before departure for trips longer than 6 days;  
  • 6 days before departure for trips lasting between 2 and 6 days.

In this case, we will fully refund any deposits and payments made.

๐Ÿ“† When is the last day to register for an expedition?

Registration for expeditions abroad closes automatically 20 days before departure, so don't take too long to register.

Registrations for one or two-day micro-expeditions close 6 days before departure. And yes, at Wildhartt we are flexible ๐Ÿ˜‡

BEFORE DEPARTURE ๐Ÿ

โœ… When will I know if my departure is confirmed?

Your departure is confirmed when the minimum number of participants has been reached. You can see this information in the expedition file, in the departure dates section. For each date, a progress bar indicates whether the departure is confirmed or the number of participants required to confirm the departure (e.g. 2 to confirm).


In all cases, once your booking has been made, we will automatically notify you by email when the departure is confirmed.


We reserve the right to close an unconfirmed departure at any time but we undertake to give you confirmation/cancellation at least 10 days before the departure of your expedition for an expedition lasting more than 2 days and 3 days before your departure for an expedition lasting less than 2 days.

Can we add a person if the team is already full?

Normally it's difficult to exceed the maximum number of people on an expedition. However, you can always contact us, just in case there's a cancellation ๐Ÿ˜‹

๐Ÿ“ฑHow do I keep up to date with news related to the experience?

We'll send you two confirmation emails within four working days of your booking. You can then contact us at any time before, during or after your expedition. In particular, you will be added to a Whatsapp group ten days before your expedition in order to facilitate communication between you, your guide, the other participants and DiscoveRent.

๐Ÿค  Will I be in contact with the other participants and the guide?

Ten days before your departure, you'll be in touch with the other participants and the guide via a Whatsapp chat. You'll be able to ask all your questions, organise your carpool or simply share your photos, feelings or good mood ๐Ÿคช

What the price does not include

Each expedition has its own specific features. You can consult the expedition page. In general, our expeditions include private guiding in small groups, activities, full board and accommodation for the duration of the stay.

Transport to the meeting point and cancellation and/or repatriation travel insurance are not included.

๐ŸƒHOW TO PREPARE FOR MY EXPEDITION

To prepare for an expedition, there's nothing like cardio training once or twice a week. Train progressively week after week by going running, cycling, climbing, etc. Be careful not to injure yourself! For specific training, contact us for more advice.

โ› Where to find the equipment list

Once you have booked your expedition, you will receive an email containing all the information you need to prepare and set off on your expedition.


You will also be added to a Whatsapp conversation with the other members of your expedition. You will be able to ask all your questions to your guide and/or the Wildhartt Team.


Before you leave, we'll be organising an informative digital meeting so that we can get together and answer any last questions you may have.

๐Ÿ“ What papers/information do I need to send?

You will receive two emails after registering:

  1. The first will contain all the practical information
  2. The second will ask you either to send us your repatriation insurance for an expedition abroad, or to take out one via Wildhartt. Finally, we ask you to sign a disclaimer in case of dangerous or premeditated behaviour during the expedition.

Are There Waiting Lists for Our Expeditions?

If you would like to be put on a waiting list for an expedition, simply go to the page for the expedition in question and fill in the "pre-registration" field. If you would like to pre-register a group, please contact us with the name of the expedition, the departure date and the number of people you would like to put on the waiting list. We might be able to arrange a private date for you and your group.

INSURANCE AND LIABILITY ๐Ÿค“

๐Ÿ“Where can I find my repatriation insurance certificate?

A repatriation certificate is a document proving that your medical expenses and potential repatriation are covered. This document must be valid for the duration of the expedition.

The certificate is normally issued to you when you take out repatriation insurance (usually by email). If you do not have it, or if you have lost it, you can always request one from the travel insurance you have taken out.

๐Ÿง What is a liability waiver?

When you sign up for one of our expeditions abroad, we ask you for two documents by default:

  • Proof of repatriation insurance
  • A completed and signed liability waiver

๐Ÿ‘‰ What is a liability waiver and what is it for?

The liability waiver makes you responsible in the event of an accident or damage to equipment caused by dangerous/risky or irresponsible behaviour on your part. In this specific case, we will call on your civil liability. In short, such a case could arise if you do not expressly follow one of the instructions given by the professional guide who takes you. ๐Ÿฅด

Insurances

For our expeditions that take place outside your home country, we ask you to take out "Repatriation Assistance" insurance. We suggest that you take out comprehensive insurance (cancellation and repatriation) or cancellation insurance when you book your expedition.

Comprehensive insurance covers unforeseen events when travelling, such as cancellations, missed flights, delays, and damaged or lost luggage. It also covers repatriation, medical expenses abroad and forced extension of your stay. In the event of an accident, it provides compensation, as well as legal support and medical assistance.

๐Ÿ‘ฅ How many people are in the shipping groups?

We prefer small groups to create a family atmosphere and minimise the impact of our expeditions on the ecosystems. Most of our expeditions are open to a maximum of 6 people.

A group can vary between a maximum of 6 and 12 people, depending on the sport practised and the destination of the expedition.

๐Ÿ›ถ I have my own equipment

If you have your own equipment for an expedition, contact us so that we can check it. If it meets standards, you can take it with you on the expedition. We will not be held responsible in the event of theft, breakage, damage or loss of your equipment; you are entirely responsible for it. Finally, this will not result in any reduction on the standard price of the expedition ๐Ÿ›ถ โ› ๐Ÿ„

Wildhartt offers outdoor trips focused on reconnecting with nature and personal development. Our commitment to this unique experience means that our departures are maintained regardless of weather conditions, be it rain, snow, wind or storm. We are flexible and ready to adjust the itinerary, activities or accommodation to suit the circumstances.

The safety of our participants is our absolute priority. In exceptional and unavoidable cases where safety cannot be guaranteed, the Wildhartt team reserves the right to cancel a departure. However, this decision will only be taken in the run-up to the holiday, i.e. less than a week before the planned departure. In such cases, we undertake to offer you the possibility of postponing your participation free of charge to another departure or to refund you in full the sums already paid.

Our aim is to offer you the best possible experience while maintaining the safety of all our participants.

How does the return after my adventure work?

Once you're back, you'll receive all the photos of your expedition by email and whatsapp. You'll also receive a short summary message. Nostalgia will give way to a new start, we're sure of it ๐Ÿฅฐ

I have a gift card / discount code, how do I use it?

If you have a discount code, you can enter it on the "configuration" page. You will arrive on this page after selecting the date of your expedition.

๐Ÿงพ How do I get a receipt for my payment?

A receipt of payment has been sent to you by email following your registration. If you need an invoice, please contact us directly at hello@wildhartt.com.


Do you accept holiday vouchers?

Yes, good news! We accept ANCV holiday vouchers.

For a partial or full payment using ANCV holiday vouchers, follow these steps:

  1. Book your expedition directly on our website using your credit card to secure your spot(s).
  2. Send us your ANCV vouchers by registered mail to:
    Wildhartt, 19 Avenue des Volontaires, 1160 Brussels, Belgium.
  3. Email us at hello@wildhartt.com to let us know that your vouchers are on the way.
  4. Once we receive your vouchers, we will refund the equivalent amount directly to the payment method used for the booking.

Can I pay on account / in instalments?

When you book, you can choose your method of payment. With our flexible Klarna payment solution, you can opt for a deposit of at least 30% of the price of the shipment. The full amount will be deducted automatically before departure.

Another practical option is to pay by instalments. Via our website, you can pay a monthly amount until the total payment is made, offering you flexibility in managing your budget.

Are prices the same for adults and children?

Prices may vary between adults and children, depending on shipping. This information will be shown directly on the shipping page.

What is included in the price of a DiscoveRent shipment?

At Wildhartt, we attach particular importance to price transparency for our shipments. Our approach is based on a clear breakdown of costs, aimed at providing a better understanding of the elements included in the total amount. Here's how we allocate the percentages:

  • 30% for our guides: We believe that our experienced guides play a crucial role in the success of each activity. That's why we make sure we allocate a significant proportion to pay for their expertise and supervision.
  • 35% for accommodation and food: We consider comfortable accommodation and quality food to be essential elements of an enriching experience.
  • 10% for equipment and transport: The safety and comfort of our participants is paramount. With this part of the total amount, we can guarantee that the equipment required is in excellent condition and adequate for each activity. Transport costs also come into play when they are essential during an expedition.
  • 25% for expedition participation and running costs: These costs cover the logistical, administrative and organisational aspects of the expedition, as well as the overall management of the experience, from start to finish.
